On behalf of Olivia Business Centre we would like to welcome you back to Olivia. It is wonderful that we can be here together again.

Two thirds of people who work outside the home say that the social aspects (conversations, relationships and face-to-face contact) are the main reason they come to the office. As you know, Olivia has much more to offer than beautiful and functional spaces. You come back and for you our permanent attractions return, such as galleries and exhibitions in the halls of buildings, relaxation zones, a diverse gastronomic offer and many sports activities after work. We have made sure that you can use everything safely. We have been working intensively for the last few months - following global trends, implementing new solutions and changing procedures - to make sure that Olivia remains the safest environment for residents, their employees and guests. Everyone in Olivia is important to us. Thank you for your trust and understanding. Let’s be safe in Olivia. In this unprecedented time every single person’s behaviour has a real impact on our common safety. That is why we should be extremely careful and responsible. For many months we have been doing our best to support you during this COVID and post-COVID reality. We also hope that this guide will help you take care of yourselves, your health and wellbeing even better. In this document, we remind you about the measures already taken by us and inform you about new ones, because we change, for the better, for you, every day.

At the same time, we kindly ask you to follow Olivia’s rules, and encourage your Employees and Guests to do the same. It will help us protect one another, both at work and at home, to which we return every day. Thanks for your trust and your understanding.

Here you will develop yourself and your passions. Thanks to your presence we create a unique community which can do much more together. You have the opportunity to participate in webinars, workshops, training events and conferences (online or on site). You will meet inspiring people. SAFE RELAXATION ZONES

You can take a deep breath, eat lunch, talk to your colleagues and even work in the open air; for example on the patio – we have prepared a safe and continuously disinfected zone of deckchairs – or in the shaded Lime Tree Alley.

Employees working in the Prime building have additional opportunities because they can spend time on terraces and balconies, which enable them to spend time outside the office, among greenery.

OLIVIA SPORTS IS BACK

Healthy body, healthy mind. We would like to invite you to sports classes in the open air, resumed after several months of compulsory break: Nordic walking, volleyball and sailing.

NORDIC WALKING EVERY TUESDAY

Free classes for all comers. Joint training is preceded each time by a quarter hour with the instructor, Beata Zarach.

FREE BIKE AND HIKING EXCURSIONS

Olivia and Grupa Rekreacyjna 3miasto invite you to a series of free bike and hiking excursions. Together we will cross forests, valleys, glades and places connected with the history of Gdańsk. We will visit gorges and ravines, listen to the sounds of the forest, murmuring streams and rustling leaves, and will see nature at its beautiful best. We go every Thursday whatever the weather..

OLIVIA YACHT CLUB

Once again we catch the wind in our sails and return to the waters of Gdańsk Bay. Classes under the supervision of qualified coaches take place in Górki Zachodnie. The programme includes: discussing safety rules, division into crews, mini-regattas. Classes are paid.

WE HELP YOU MAINTAIN A SAFE DISTANCE

Maintaining a social distance (we recommend two-metres ) helps reduce the risk of spreading the infection. That is why we have introduced solutions which make it easier to follow this rule.

SEPARATE ENTRANCES, EXITS AND COMMUNICATION ROUTES

For everyone’s safety we have marked outdoor areas around buildings and buildings themselves. We have also indicated separate, recommended entrance and exit routes. These routes start in Residents’ key movement points:

  • at Olivia Gate A building (next to Starbucks, people heading to Olivia from SKM Przymorze station),
  • at Olivia Four (people heading to Olivia from Wita Stwosza Street and “Tetmajera” tram stop).

COLOURS AND GRAPHICS

Every building has been assigned a unique colour (making it easier not only to orientate in the whole of Olivia Business Centre, but also to communicate changes dedicated to particular office buildings). Characteristic colours correspond to signs inside buildings (you will quickly and seamlessly reach reception desks, lifts, exits) and outside buildings (communication routes guiding to a particular building).

Colourful graphics (for example on the floors in common spaces) remind us to keep a two-metre, safe distance, for example, while waiting for a lift or going through access control gates.

ONE-WAY TRAFFIC

Every building has its own unique one-way system, which prevents unnecessary passing of other people. This also applies to staircases.

CAR PARKS

We have modified our car parks in such a way to make it as easy as possible to keep a safe two-metre distance while leaving your car and heading back to your vehicle. In Olivia Star the electronic parking system directs drivers to a level of the car park, which is least occupied upon arrival.

Lifts

We recommend that office lifts are used by up to four persons at a time and two persons in the case of lifts with smaller cabins. If you see that the limit has been reached, please wait for the next lift. Safe transport by lifts is enhanced by constant ventilation. A lift awaiting passengers has, as a standard, closed doors. We have changed these settings, thanks to which waiting lifts have open doors. This solution ensures betteraccess and an increased flow of fresh air.

Lobby

In common spaces we have placed seating mainly for one person. These, and other furniture have been placed in compliance with the rule of maintaining a safe distance. Our furniture has been covered with titanium coating and is regularly disinfected.

BATHROOMS, TOILETS, CHANGING ROOMS

We have placed labels on washbasins and urinals, which remind us to keep a safe distance. We also recommend, in accordance with labels, that you wash your hands for a minimum of 30 seconds, use benches in changing rooms for cyclists reasonably (one bench – one person) and use every second shower unit.

WE HAVE THE HIGHEST SANITARY STANDARDS

INNOVATIVE TITANIUM COATING

We have coated surfaces and high-touch elements (in halls, corridors, lobbies, underground spaces, elevator cabins and their panels; handrails, door handles, security control gates, toilets, bicycle locker rooms and furniture) with this modern disinfection method. It uses titanium dioxide, commonly used in facilities with very high hygiene standards, such as hospitals and food production plants. The titanium coating works on the principle of photocatalysis, creating a surface free from pathogenic microorganisms. Bacteria, fungi (including molds) and viruses are eliminated and their residues are broken down into carbon dioxide and water. The coating remains active for a minimum of one year. Interestingly, it also cleans air masses that come into contact with it.

Efficient Coating - ATP technology

To be absolutely sure about the effectiveness of the coating, we systematically test it with a LumiNometer. This is a portable cleanliness and hygiene analyzer purchased by us specifically for this purpose. We use ATP technology to analyze the level of surface activity; the effectiveness of the coating and the cleanliness of the surface are tested simultaneously. Titanium dioxide (TiO 2) nanocoating forms hydroxyl radicals when exposed to light. These highly reactive radicals break down and damage cell membranes. Since most microorganisms are single-celled organisms, they die on contact with the coated surface. ATP is a molecule found in and around living cells and as such gives a direct measurement of biological concentration and cleanliness.

RECEPTION DESKS

All reception desks have been equipped with dispensers with hand sanitiser. We have also equipped them also with plexiglass panels.

Reception staff wear protective masks and, additionally, gloves – while checking documents or providing entry passes. Of great importance here; entry passes are disinfected after each use with the use of UV steriliser. UV light removes viruses, bacteria and microorganisms, so that passes are safe to use.

HAND SANITISERS

Hand hygiene and disinfection are crucial for protection against the virus. That is why we have placed dispensers with hand sanitisers in places in Olivia in which we observe increased traffic; in all often-used routes, in common spaces (such as garages, lobbies, lift halls) and at ticket machines in car parks.

PROTECTIVE MASKS

Wearing protective masks is one of the most important and easiest ways of protecting both ourselves and others. All users of common spaces in Olivia’s buildings, especially lobbies, lifts, halls and underground car parks, are obliged to cover their mouth and nose while in these areas.

Have you forgotten to bring a mask with you? Do you need nitrile gloves or disinfectant wipes? Use our HELPOMAT. The machine is situated in the vestibule of the Olivia Six building (entrance from Olivia Star). There you can buy the abovementioned safety products.

TEMPERATURE MEASUREMENT

In lobbies of all buildings we have installed terminals , which make it possible for Employees and Guests to measure their temperature voluntarily.

DELIVERIES: COURIERS, CATERING COMPANIES

We care about your comfort, but your safety is our priority. That is why we have decided to reorganise the whole delivery system in Olivia. Courier, delivery and catering services are performed in designated areas outside office buildings.

All Residents have been given detailed guidelines and current maps of collection points.

The delivery system may be adjusted to the current situation.

CLEANING AND MAINTENANCE

We have intensified the cleaning service. Banisters, handles, handrails, lift panels, reception desks and other elements in common spaces are disinfected every two hours (minimum).

All social rooms for service personnel are periodically disinfected, in particular using the process of ozonisation.

Furthermore, cleaning workers (as well as security and technical workers) move around Olivia inprotective masks at all times and, when in indoor spaces, also wearing nitrile gloves.

CLEAN AND FRESH AIR

THE POWER OF AIR IONIZERS

Air ionisers, which clean the air, will soon start working in the air handling units of our buildings. The positive and negative ions will be blown into the rented area along with the fresh air.

Air ionization is the release of ions that have the ability to bind around microparticles (e.g. viruses, bacteria, molds). As soon as an ion adheres to the surface of the virus, a chemical reaction takes place whereby positive and negative ions form a hydroxyl radical on the surface of the virus that has the ability to “pull” a hydrogen atom from the protein. In this way, the protein is destroyed, which prevents the virus from penetrating into human cells. Air ionizers have a huge impact on air quality because they:

  • remove viruses from the air, which is an important preventive measure in the fight against coronavirus,
  • they remove PM 2.5 and PM 10 dust particles and other harmful pollutants that may cause respiratory failure,,
  • remove allergens from the air that weaken the immune system,
  • remove allergens from the air that weaken the immune system,
  • • restore the ionic balance in the air, ensuring better well-being.

HOW DOES PLASMACLUSTER WORK

OPENABLE WINDOWS

All buildings in Olivia, including the 180-metre Olivia Star, have tilting windows or façade elements. This is a unique solution on a global scale, thanks to which employees of our offices have continuous access to fresh air.

ACCESS TO FRESH AIR

Fresh air has a positive impact on our comfort and safety. We recommend that you aerate offices regularly, at least every 2-3 hours. Let us not forget about our environment and remember about turning air conditioning off while aerating offices. In most cases building systems will help out – they automatically turn devices off if they sense any open window.

VENTILATION AND AIR CONDITIONING SYSTEMS

Servicing and maintenance of ventilation and air-conditioning systems in Olivia meet the highest norms and guidelines of the REHVA federation (Federation of European Heating, Ventilation and Air Conditioning Associations). REHVA is an international organisation, which promotes ensuring building users healthy air of high quality, as well as a comfortable living and working environment.

Ventilation systems in Olivia’s buildings work 24/7. We exchange more than 2 times more fresh air than is required by binding regulations.

HIGH DEGREE OF AIR FILTRATION

In Olivia we only use filters from reputable manufacturers. Their filtration effectiveness in their class, including F7 class, is assured.

ANALYSIS OF AIR QUALITY

We are continuously monitoring and maintaining high air quality in Olivia’s buildings (from the moment of its aspiration from the outside to its distribution inside).

We use carbon dioxide sensors, which seamlessly control the flow of fresh air and improve the comfort of use of offices. Ventilation is more intense, when more people are in one room, thanks to which air is exchanged very quickly. This solution optimises the power consumption, depending on the type and the area of a building, or the number of Employees. In the new, so-called post-COVID reality, we have decided to buy additional sensors measuring the level of dusts and volatile organic compounds suspended in the air.

In February 2020 we started our cooperation with Professor Krzysztof Korzeniewski, MD, Ph.D., the director of the Department of Epidemiology and Tropical Medicine in Gdynia, who supported us with his knowledge and experience while developing procedures and planning measures to protect Olivia’s users from COVID-19.

WE ARE LOOKING FOR THE BEST SOLUTIONS

In Olivia a panel of experts, analyses the situation and implements solutions mitigating the risks connected with COVID-19 on an ongoing basis.

An Interdisciplinary teams of specialists appointed by us have been divided into sections dedicated to:

  • the analysis of global trends and new technologies,
  • spatial arrangement,
  • traffic management and the ways of moving about, in business centres and other places.

We often and willingly benefit from the experience and suggestions of our Residents.

WE LOOK AFTER OURSELVES

New Reality

Office (re)entry

A team of designers and architects from Olivia Business Centre actively supports Residents in the processes of adapting their offices to new, postCOVID reality. The main aim of all activities of Design Anatomy is to guarantee Tenants’ Employees the sense of security and maximum comfort. That is why we are focused on three main areas: risk, capacity and the way people using the office space move. On the basis of the analysis of these factors, Design Anatomy adjusts offices to Residents’ needs and expectations.

WE CARE ABOUT OURSELVES, SO WE CAN CARE ABOUT YOU

We have reorganised the work of all Olivia’s departments. We have adjusted the pace, cycle and scope to the character and types of tasks of particular teams. Our overriding goal is to guarantee you and your guests maximum safety and professional, seamless service.

Security, cleaning and technical workers wear protective masks and gloves. Members of these departments work in smaller teams than before, and work shifts to minimise the risk of contact and infection, and ensure the continuity of the provision of services.

All social rooms for these teams are periodically disinfected, especially through the process of ozonisation.

In chosen technical rooms we have also installed air ionisers.

TOGETHER WE CAN DO MORE

From the beginning of the pandemic we have been trying to support our community, Tri-City inhabitants and our nearest neighbours. Under the banner “Together we can do more” we initiated support packages dedicated to the medical community, entrepreneurs, students, seniors and people in quarantine. We have been (and still are) active in, and outside Olivia.

MEDICAL COMMUNITY

Medical services received warm meals, masks and personal protective equipment from us. We provided the hospital in Zaspa, in Gdańsk, with a respirator and a fumigator. We also financed a diagnostic module, which makes it possible to test personnel for coronavirus without entering the hospital.

We also financed the first mobile COVID-19 testing centre in a walk through form in Poland. The University Clinical Centre was provided by us with the point prepared for the common collection of swabs for tests for COVID-19.

It was possible to initiate this thanks to the support of the Pomerania Province Governor – Dariusz Drelich, the Regional SanitaryEpidemiological Centre and the University of Gdańsk. The module is located near the University of Gdańsk.

#SHOWYOURHEART

Finally, we managed to initiate the “Show your heart” campaign. Every day we lit a huge red heart on Olivia Star, the tallest building in northern Poland. It was a symbolic “thank you” to everyone who risked their health and the health of their families and fought with coronavirus on the “front line” on a daily basis. The heart was lit, among others, in Gdynia, on Sky Tower in Wrocław, on Mercure Gdynia Centrum and on Mercure Gdańsk Old Town.

FOR RESIDENTS AND INHABITANTS

Together with our Residents and Partners we accomplished many initiatives, from which many recipients benefited.

We organised the collection of computers and laptops for children from nearby schools to enable remote learning for students in need (we had the support of, among others, Acxiom Global Service Center Polska, Energa Group and thyssenkrupp).

Together with the Caritas of the Gdańsk Archdiocese we took care of elderly people by providing them with food and Easter packages.

Our actions addressed to working people engaged experts and entrepreneurs to ensure access to inspiring and valuable knowledge which supports their professional development. We organised webinars on various subjects – from English classes, through education, to “Coffee with a Recruiter”. We are already thinking about the next meetings – online and offline.
